Forward Together is seeking a friendly, professional Executive Assistant to provide dedicated support to our Executive Director and Deputy Director, including meeting coordination, travel logistics, administrative support and special projects. This role also represents the Executive Director and the organization to key stakeholders, including board members, funders, partners, and members of the media. The ideal candidate is courteous, thoughtful, and timely, and possesses the ability to work well under pressure and handle multiple tasks without dropping the ball. The Opportunity

The Executive Assistant anticipates and responds to a variety of executive-level and administrative needs. Key priorities for this position include interfacing with organizational stakeholders, providing scheduling and travel support, and coordinating events and meetings.

Summary of Responsibilities

  • Acts as point of contact between executives and stakeholders, including funders, media, board members and organizational partners.
  • Provides professional, courteous, and timely responses to stakeholder needs and requests.
  • Organizes and maintains ED calendar, crafting a spacious and healthy pacing of meetings, planning, and preparation. Ensures ED is on time and prepared for meetings.
  • Plans and coordinates board of directors meetings; tracks and files board minutes and votes.
  • Coordinates executive events and other assigned meetings.
  • Coordinates all executive and board travel arrangements and provides prompt on-call support.
  • Completes and files executive expense reports, invoice requests, and all other accounting-related paperwork.
  • Reviews and flags important mail and messages for the ED.
  • Researches, writes, copyedits, and/or prepares presentations, speeches, field reports, and other content as needed.
  • Provides back up support when administrative staff are absent.

Qualifications

  • Experience working in partnership with, by and for communities of color. Commitment to Forward Together's mission and social justice. Experience working with a nonprofit preferred.
  • At least 2 years' experience providing executive or administrative support. Experience working with multiple supervisors preferred.
  • A confident, friendly, professional, and helpful attitude, with willingness, independence, and initiative to take on small or large tasks.
  • Highly organized and systematic, with excellent time and project management skills and the ability to juggle competing priorities and deadlines in a fast-paced environment.
  • Ability to control and handle information that is highly confidential and time-sensitive in nature.
  • Demonstrated experience planning and staffing events and arranging travel.
  • Excellent verbal and written communication skills in English.
  • Strong computer skills, including familiarity with Microsoft Office, GSuite, and CRM platforms. Internet research skills a plus.
  • Available for some evening and weekend activities.
  • Ability to drive. Valid California driver's license and, if driving own car, proof of insurance coverage meeting Forward Together's organizational insurance levels.

Forward Together is seeking a passionate and driven Movement Building Director to advance our efforts to build, expand, and engage in effective, collaborative movements. This position leads the Strong Families network, a growing group of over 200 organizations working together to build a movement to ensure all families have what they need to thrive. The Movement Building Director represents Forward Together in national coalitions, leads specific strategies to position Forward Together as a national movement building leader, and builds and deepens our relationships across movement sectors.

Responsibilities

  • Sets the strategic direction and leads development of all Movement Building programs and projects, including the Strong Families network.
  • Cultivates and deepens relationships with key individuals, organizations, and networks at national and state levels.
  • Identifies and represents Forward Together in coalitions and networks, including the Movement Building Task Force of CAARE.
  • Expands and strengthens network relationships by managing collective projects, planning/facilitating conference calls or convenings, and holding leadership roles as appropriate.
  • Documents and evaluates movement building programs, projects, and strategies.
  • Travels regularly for convenings, movement building, and other collaborations.
  • Actively participates in all staff team-building activities, including staff meetings and other activities such as Forward Stance learning and practice. Forward Stance is a mind/body approach to strategy and movement building—for more information, check out this video.

Qualifications

  • Experience working in partnership with, by and for communities of color.
  • At least 8 years’ experience with community organizing, advocacy and movement building, with a demonstrated track record of leading collaborative movement building strategies.
  • Excellent relationship building skills, include the ability to effectively communicate with people at all levels and from various backgrounds and an infectious, positive attitude.
  • Management-level experience, including program development, budget management, and employee supervision.
  • Committed to social and reproductive justice and Forward Together’s mission.
  • Excellent written and verbal skills in English.
  • Superb facilitation and presentation skills.
  • Ability to travel across the United States for trips of up to 4 days up to 8 times per year.

  • Builds strong and deep relationships with partner organizations in Oregon while representing Forward Together at coalition tables.
  • Coordinates policy change strategies and direct advocacy targeted at administrative and legislative bodies.
  • Serves as a spokesperson and advocate representing Forward Together in Oregon.
  • Informs and implements digital organizing strategies.
  • Directly supervises the Oregon Field Organizer.
  • May act as a lobbyist for Forward Together.
  • Travels within Oregon up to four times per year and up to three times a year outside Oregon as required. Additional travel may be required during the annual state legislative session
